How to Take a Screenshot on a Laptop: Windows, Mac and Chromebook

Learn how to take a screenshot on a laptop using Windows, Mac or Chromebook shortcuts, find saved images and fix common capture problems.

5 min read · · Updated

To take a screenshot on a Windows laptop, press Windows + Shift + S and select the area you want. On a MacBook, press Shift + Command + 3 for the whole screen or Shift + Command + 4 for a selected area. On a Chromebook, open Screen Capture with Shift + Ctrl + Show windows.

The right shortcut depends mainly on your operating system, rather than whether your laptop is made by HP, Dell, Lenovo or another brand. Start with the method below that matches your computer, then check where the image was saved before closing anything.

Choose the screenshot you actually need

A full-screen screenshot is useful when you want to show the layout of an entire desktop. A selected-area capture is usually better for an error message, receipt or small section of a document. A window capture helps you share one application without including everything behind it.

Before capturing, close unrelated tabs and notifications. If you are asking someone to fix a problem, keep the error message and the relevant application name visible. Cropping too tightly can remove the context they need to understand what happened.

How to take a screenshot on a Windows laptop

Capture a selected area with Snipping Tool

  1. Open the screen you want to capture.
  2. Press Windows + Shift + S together.
  3. Select the rectangular capture option if it is not already selected.
  4. Drag across the part of the screen you need.
  5. Open the capture notification to review or edit the image.
  6. Use the save control to keep a file in a folder you can find.

You can also paste the captured image into a compatible application with Ctrl + V. For example, paste it into Paint, an email draft or a chat that accepts images. Pasting into a normal text-only box may do nothing because that field cannot accept pictures.

Microsoft documents these capture options in its Snipping Tool guide. Automatic saving depends on the app version and settings, so save explicitly when the screenshot matters.

What if the keyboard shortcut does not work?

Open the Start menu, type “Snipping Tool” and launch the application directly. Choose a capture mode and select New. This avoids confusion about function keys and is useful when you are using an unfamiliar keyboard.

Some laptops put Print Screen on a key that also has another function. Its behavior can depend on the Fn key and keyboard settings. Do not assume that pressing PrtSc always creates a visible file. Check the clipboard or use Snipping Tool instead.

How to take a screenshot on a MacBook

For the whole display, press Shift + Command + 3. For part of the display, press Shift + Command + 4, then drag to select the area. To capture a window, press Shift + Command + 4, press the Space bar and click the window.

Press Shift + Command + 5 to open the Screenshot toolbar. This gives you capture controls and an Options menu where you can review the save location. The desktop is the usual default, but a previously changed location may still be selected.

Apple explains the shortcuts in its Mac screenshot instructions. If you do not see the saved image, check the toolbar’s destination rather than repeatedly taking the same picture.

How to capture a Chromebook screen

Press Shift + Ctrl + Show windows, then choose the screenshot option and select a full-screen, partial or window capture. Some keyboards have a dedicated Screenshot key. You can also select the time in the bottom corner and choose Screen capture.

The Show windows key usually has a rectangle-like symbol with lines beside it. With a supported external keyboard that lacks this key, Google lists Ctrl + Shift + F5 as an alternative. Screenshots normally go to Downloads unless you choose another folder.

See Google’s Chromebook screen capture guide for the available controls. Choose the still-image option if the toolbar is currently set to record video.

Where should you save screenshots?

Create one clearly named folder, such as “Screenshots to send,” instead of leaving several similarly named files scattered across the desktop. Rename useful captures with their subject: “printer-error” is easier to recognize later than a long sequence of numbers.

Keep the original until your recipient confirms that the image is readable. If you need an organized place for reference images, follow our guide on organizing files on your computer.

Fix blurry, blank or missing screenshots

If text looks blurry, capture the original application at a readable size and send the image as a file when possible. Repeatedly downloading and resending a compressed chat preview can make small lettering harder to read.

If a capture is blank or black inside a particular app, protected content or an application restriction may be involved. Try capturing an ordinary desktop window to check whether the tool itself works. Do not assume that installing a different screenshot app will remove that restriction.

If the screenshot seems missing, distinguish between an image copied to the clipboard and a file saved to storage. Paste into an image-capable app first, or inspect the capture tool’s save destination.

Check privacy before sharing

Look for email addresses, account numbers, browser tabs, QR codes and notification previews. Crop unnecessary information out, or cover it with a fully opaque block and export a new image. Reopen the exported file to confirm the information is no longer visible.

When sending a screenshot to a colleague or support team, add a short explanation of the problem. Our guide to writing a professional email shows how to make that request clear.

Frequently asked questions

Do I need an app to take a laptop screenshot?

Usually not. Windows, macOS and ChromeOS include their own capture tools. Start with those before adding software.

Can I screenshot without a Print Screen key?

Yes. Use Windows + Shift + S, the Mac shortcuts above, or your Chromebook’s Screen Capture controls.

Can a screenshot capture a whole scrolling page?

A normal screen capture records the selected visible area. Full-page capture is a separate feature that depends on your browser or application; it is not the same as a full-screen screenshot.
